Sutter Gould Medical Foundation (SGMF) is a non-profit, multi-specialty health care organization affiliated with Sutter Health. Based in Modesto, SGMF prov ides quality medical care, health education and research activities in a five-county Central Valley area. SGMF's medical staff includes family practitioners, internists and pediatricians, as well as a range of specialist physicians. Services include imaging, nuclear medicine, a health library, health education programs, occupational medicine, cardiac rehabilitation, diabetes education, nutrition counseling, infertility counseling, weight management.
POSITION SUMMARY: The Value Stream Administrative Assistant provides complete and professional, administrative and secretarial support to the members of the Value Stream. The Value Stream Administrative Assistant uses independent judgment and initiative to complete a variety of special projects, and prioritize information and requests directed to Steering Committee. In doing so, the incumbent ensures that the Value Stream maintains a high level of responsiveness to the organization, while maintaining maximum availabili ty. Provides clerical and administrative support to the Value Steam. Responsibilities include administrative support for meetings, data collection and tracking, updating information in the âmission control areas,â and supporting Value Stream leadership team with schedules, metrics and analysis. Ability to analyze and interpret data to best present the story it tells. Provides support to department process improvement events. Responsible for value stream supply ordering. Must be able to travel to multiple sites and be flexible with work hours. This position may act as a liaison while maintaining open lines of communication amongst senior executives, leadership team, and staff members in relation to support of the Value Stream Lean work.
Qualifications
MINIMUM POSITION REQUIREMENTS:
Education: A two-year degree in secretarial science or business administration is required. A combination of experience and a minimum of two years of college level courses in business may be substituted. Proof of the ability to type 40 WPM is required.
Experience: Administrative skills including telephone and customer service experience such as would be gained in three to five years working in a busy office environment at a professional level is preferred. Must have demonstrated ability to handle multiple projects simultaneously and effectively maintain organization and work flow systems, which accommodate rapidly changing priorities. At least three (3) years of advanced computer experience with Microsoft Word, Excel, Outlook, and PowerPoint is required. Experience with Microsoft Visio, Access Database and Adobe Acrobat Professional preferred.
Knowledge: Demonstrated knowledge of complex organizations, with an emphasis on health care environments is preferred. Excellent communication skills, both oral and written are required as well as a sound knowledge of the English language including correct use of spel ling, grammar, and punctuation. Business correspondence composition and formatting skills are required; project tracking systems is highly desirable. Knowledge of office equipment operations, including the ability to set up equipment for use in presentations preferred. Knowledge of general office practices and Value Stream functions is preferred. Exposure to Lean is preferred. Eagerness to learn leadership skills and change management skills.
Special Skills/Equipment: Ability to type 40 wpm, with excellent command of grammar, spelling and composition are required. Typing certificate is required. MS Office proficiency certificate required. The ability to communicate professionally, calmly and effectively with all levels of staff and providers, as well as patients. The ability to deal effectively with challenging customer service interactions in an appropriate manner. The ability to prioritize work and manage multiple tasks. The ability to keep information confident ial. The ability to compile data and prepare reports. The ability to work independently to complete job duties and manage multiple priorities. The ability to coordinate meetings, prepares agendas and attachments, and chart pad during meetings. The ability to work enthusiastically and energetically. The ability to be flexible as needs of the department change. Organizational skills and ability to multi-task are very important for this position. The ability to use independent judgment and initiative in making sound decisions and in developing solutions to problems. Interprets and follows oral and written instructions with attentiveness to detail.
